Become a Vendor

We are currently accepting applications to participate as a Vendor at the 2012 Hudson Valley Wine & Food Fest.

Some examples of acceptable vendors include Wineries, Wine & Liquor Distributors, Gourmet Specialty Foods, Farm Market Vendors, Fine Arts, Crafts, Jewelry, Home Accessories and Home Improvement Lifestyle Vendors.

We are not accepting applications for Food Concessions. All Food Concessions are organized by the Dutchess County Fairgrounds. You can contact Deborah Aschmann at the Dutchess County Fairgrounds at 845-876-4001 for concessionaire information.

Important Deadlines & Requirements

  • Vendor Application Deadline – July 30, 2012
  • Signed Contract & Full Payment Due – Upon Receipt of contract. (Full Payment must be received no later than August 6, 2011 to be included in the Taster’s Guide)
  • Certificate of Insurance & other paperwork – Aug 3, 2012

All Vendors & Sponsors will be required to provide a Certificate of General Liability Insurance with details below:

THE VENDOR, its affiliated companies and subsidiaries shall secure and maintain during the period of this Agreement Comprehensive General Liability Insurance, which shall be written on an occurrence basis, with a standard broad form endorsement and/or excess umbrella liability with combined single limit of not less than $300,000.00 for each occurrence and $1,000,000.00 general aggregate. Proof of this insurance shall be provided to THE FESTIVAL no later than thirty (30) days prior to the beginning of the work to be performed described herein.

THE VENDOR agrees to name Grape Events Partners LLC, Wineracks.com and the Dutchess County Agricultural Society Inc. as respects to the Hudson Valley Wine & Food Fest September 8-9, 2012 as additional insureds and to provide a certificate of such coverage no later than thirty (30) days prior to the EVENT

You will not be permitted to attend the event without insurance. We do not offer insurance through the festival. If you need assistance in acquiring event insurance please Contact Us and we can recommend some reliable resources.

  • If you sell taxable goods, you will also be required to have a copy of your New York State Certificate to Collect Sales and Use Tax on file with the Fest
  • All vendors serving wine or alcoholic beverages must obtain the proper permits from the NYS Liquor Authority and have them available at your booth during the event
  • Vendors serving food samples will be required to obtain a food permit from the Dutchess County Department of Health. A DoH representative will be on hand each day of the Fest to inspect any booths providing food. You can contact them at (845) 486-3400.

Booth Fees

Outdoor Tent Site – $225.00

10′ x 10′ booth space, you supply canopy (no tarps) & tables. Electric must be ordered in advance.

Indoor Inline Booth – $350.00

10′ x 10′ booth space with 1 skirted table and 1 non-skirted table, pipe & drape booth surround and electric included.

Indoor Inline Booth on a Corner – $375.00 

10′ x 10′ booth space on a corner with 2 skirted tables and 1 non-skirted table, pipe & drape booth surround and electric included.

Indoor Center Aisle Island Booth – $675.00

20′ x 10′ booth space with 4 skirted tables and 1 non-skirted table with electric in the middle of an aisle

Indoor Center Aisle Island Corner Booth – $695.00

20′ x 10′ booth space with 5 skirted table and 1 non-skirted table with electric in the middle of an aisle on a corner

Vendor applications received after August 1 will not be included in the Taster’s Guide
